AI Transparency in Schools Starts With Questions and Conversation

Everyone is asking the same questions about AI. Here’s how schools should start answering them—in conversation with teachers, staff, and students’ families.

In almost every AI session I lead for educators, school leaders, families, or students, I am asked the same questions: Which tools are safe to use? What happens to student data, and how is it protected? Who is responsible for vetting these tools?

These questions reflect the need to clearly define what responsible AI use is. And it is not simply creating a list of approved tools or writing an AI policy without ongoing review. Schools need a shared culture of data awareness and transparency. This means everyone, including administrators, educators, students, families, technology teams, and support staff, needs a shared language when talking about AI, student data, digital responsibility, and purposeful technology use.

Through my work with schools across the country, in conference sessions, and in conversations with colleagues, I have recognized that the districts making the most progress are the ones asking these questions:

  • What do we want students and educators to understand about AI?
  • How do we protect student data while still preparing students for the world that requires these skills?
  • What expectations do we need to communicate consistently?
  • How do we help educators, students, and families feel confident instead of overwhelmed?

AI is unlike other digital tools we have used. AI tools collect information, generate content, personalize outputs, and recommend resources, and many are embedded into platforms that schools already use.

What schools need

Schools must ensure that tools are in compliance with the Family Educational Rights and Privacy Act (FERPA), which protects the privacy of student education records, and the Children’s Online Privacy Protection Act (COPPA), which applies to the online collection of personal information from children under 13. But being in compliance alone is not enough because there can still be confusion, inconsistent practices, unclear expectations, and a lack of transparency with families and students.

During the past year, I’ve worked with schools as they revise their Acceptable Use Policy (AUP) or Responsible Use Policy (RUP). Many existing policies were written before the rise of generative AI and do not adequately address AI tools, academic integrity, or data privacy. Some focus only on devices, internet access, passwords, and general online behavior. And many use legalese that is not explained in plain language—and is often not read at all.

Schools should take time to review their specific policies and reflect on whether they address current issues in education related to technology use and specifically AI. Policies should include legal and technical language where needed, but there should be student-friendly, family-friendly, and educator-facing versions available to build greater understanding.

Schools also need to provide guidance on what counts as personally identifiable information. Can student names, writing samples, individualized education program–related information, grades, behavior notes, or demographic details be entered into a tool? Is the tool approved by the district? These questions should have consistent, clear answers in every classroom and also be communicated to families.

One of the strongest strategies I have seen is creating shared language across the district, including defining relevant AI terms and responsible use. Having shared language helps the school community move from fear and confusion to clarity and action. Schools should communicate proactively about how and why AI is being used, what tools are approved, what data protections are in place, and how students are being taught to use AI responsibly. Families need plain language that answers these common questions and tells them whom to contact with any concerns.

What students need

Students need guidance on what information they should never share with AI tools. They need to understand that AI can make mistakes, reflect bias, generate false information, and sound confident even when it is wrong. They also need to know that using AI responsibly means using it transparently and in a way that’s guided by human judgment. This is why schools need shared expectations that go beyond whether AI is allowed or banned and instead define levels or categories of use. When is AI not permitted? When may it be used with teacher permission? When is it encouraged as part of the learning process? When must students cite or disclose how they used it? These expectations should be consistent enough to create clarity but flexible enough to support different grade levels, subjects, and learning goals.

Administrators play a key role in building this culture. Practical resources can make a big difference. Districts can create one-page guides for educators, students, and families. They can create student-facing AI use agreements written in age-appropriate language. Schools can host information sessions for parents.

Where to start

Building a culture of data awareness and transparency takes time. It requires policy review, professional learning, collaboration, and ongoing communication. Responsible technology use should be treated as a shared practice that is taught, modeled, revisited, and improved, rather than a document signed once a year.

Here are eight steps for districts ready to invest in this work.

  1. Bring different perspectives and experiences to the conversation by creating a team that includes administrators, teachers, students, families, technology staff, counselors, librarians, and instructional coaches.
  2. Review the AUP or RUP to see if it addresses AI tools, academic integrity, and responsible use of school-issued devices.
  3. Develop shared language related to key AI terms, and promote awareness of it.
  4. Evaluate school policies and keep the required legal version, but create versions specific to students, families, teachers, and administrators.
  5. Have clear student-facing AI expectations that are consistent across classrooms and communicated to families before problems arise.
  6. Host family information sessions or device clinics to offer support around parental controls, screen-time settings, school-approved tools, student privacy, and how families can support children at home.
  7. Collect feedback and revise as needed. Use surveys, create student focus groups, and gather teacher insights to guide any needed changes or address concerns.
  8. Provide consistent training and guidance on AI and technology use for new teachers, substitute teachers, students, and families.

These steps will build capacity and greater awareness as you navigate technology changes. Having multiple parties involved in the conversation will lead to more questions, but greater collaboration leads to better decision-making. The best-prepared schools are the ones that didn’t wait until every question had a perfect answer. They are the ones working to create shared understanding, consistent communication, and practical guidance that people can actually use.
